Bring together the previous meeting notes, the customer's open questions and the current proposal terms. Ask for a brief with source references so you can return to the original statement when something needs checking.

  • After the meeting: separate decisions, owners, dates and unresolved points.
  • For follow-up: draft the answers, relevant material and next step in one email.

An example: follow up after a sales meeting

Ask for an email draft, internal questions to resolve and an action list. Check names, roles and commitments before sending through your normal email workflow. This is an illustrative request, not a measured customer case or a claim about time saved.

Share the inputs that prevent rework

Use only customer information you are allowed to process. For your first run, a fictional account and a short sample transcript are enough to test whether the workflow is useful.

  • The purpose of the meeting and the next decision you want the customer to make.
  • The notes and material the AI may use, including their dates.
  • The recipient, tone, length and questions that must be answered.
  • Terms that need your approval, such as discounts, delivery dates or contract changes.

Review the draft before taking action

Separate the customer's words from your assumptions. Check that answered questions are not asked again, that owners and dates match the notes, and that the draft has not added proposal terms. Review these points before you take the next step.
